Privacy Policy

Last updated: 18 October 2026

In plain English

  • This website records which pages you look at, using measurement tools run by Google and Microsoft. That information may be held outside Australia, including in the United States.
  • Some of our pages are about specific conditions and specific suburbs, so we handle that browsing record as health information and give it the same care as information in a patient file.
  • The phone number shown on the site can change so we can tell which pages and advertisements lead to calls. Calls to those numbers are recorded and turned into text, and a short message at the start of the call tells you so. If you would rather not be recorded, email us and we will call you instead.
  • We use some computer programs, including AI tools, to help draft replies and run the practice. A person makes every decision about your care and about whether we can help you.
  • Our Google Ads account holds audience segments built from this website's data. As at the date above, none of them is being used to target advertising.
  • You can limit or stop most of this collection using your browser and your Google account settings. The "Your choices" section below explains how.
  • You can ask us what we hold about you, ask us to correct it, and make a complaint. If we do not resolve a complaint, you can take it to the Office of the Australian Information Commissioner.

Who this policy applies to

This policy applies to Stapleton Chiropractic, the practice of Dr Sam Johnson (Chiropractor), at 528 Marion Road, Plympton Park SA 5038, and to this website, stapletonchiropractic.com.au.

Stapleton Chiropractic is bound by the Privacy Act 1988 (Cth) and by the Australian Privacy Principles set out in that Act. Health service providers are covered by the Act regardless of the size of the business. This policy replaces the practice's earlier privacy document, which referred to the National Privacy Principles. Those principles were replaced by the Australian Privacy Principles in March 2014.

This policy is available free of charge on this page. If you would like it in another format, ask us and we will provide one where we reasonably can.

You can contact us about anything in this policy:

  • Phone: (08) 8297 5277
  • Email: wecanhelp@stapletonchiropractic.com.au
  • Post: 528 Marion Road, Plympton Park SA 5038
  • Practice hours: Monday to Friday, 7am to 7pm. Saturday, 8am to 12pm.

What we collect

Information you give us directly

When you book an appointment, fill in an enquiry form on this website, phone us, or email us, we collect what you provide. That usually includes your name, phone number, email address, and the reason you are contacting us. Online bookings made through this website are handled by our booking provider, LunaCal.

When you attend the practice, we collect the health information needed to provide care and to keep a clinical record, including your history, examination findings, and the care provided. That information is held in our practice management and clinical records system.

Information collected automatically when you use this website

The measurement tools listed in the next section collect the following each time you use this site:

  • the pages and page addresses you view, including pages about specific conditions and specific suburbs
  • the date and time of your visit, and how long you spend on a page
  • the links and buttons you click, how far you scroll, and mouse movement, taps and other on-page activity recorded as part of session recording
  • your device type, browser, operating system and screen size
  • your approximate location, worked out from your internet address
  • the website, search or advertisement you arrived from
  • identifiers set by Google and by Microsoft for your browser or device, which allow them to recognise the same browser or device across visits

Phone call information

The phone number shown on this website is served by a call tracking service, WildJar, which can display a tracking number in place of our office line so that we can tell which pages and advertisements lead to phone enquiries. A call to a tracking number connects to the practice in the normal way. Information about the call, such as the number you called from, the time, the length of the call, and the page or advertisement the number was displayed on, is recorded by that service.

Calls to these tracking numbers are recorded, and a short message at the start of each call tells you so. The recordings are turned into text transcripts by an automated service. WildJar keeps the recordings and transcripts, and we may keep copies of transcripts in our own systems. We use them to check the quality of our phone service, to see whether callers reached us, and to see which pages and advertisements lead to calls. If you would rather your call was not recorded, email us at wecanhelp@stapletonchiropractic.com.au and we will phone you from our office line, which does not use this service. Messages left on our voicemail are recorded in the usual way.

The measurement tools on this website

These are the tools running on stapletonchiropractic.com.au, and what each one does:

  • Google Tag Manager (container GTM-TWX8K739), run by Google, which loads and manages the other tags listed here.
  • Google Analytics 4 (property G-HN0568J35L), run by Google, which measures how the site is used, including which pages are viewed and how visitors move through the site.
  • Google Ads conversion tracking (account AW-812598385), run by Google, which records when a visit that arrived from one of our advertisements leads to an action such as a booking or a call, so that we can measure our advertising.
  • Microsoft Clarity, run by Microsoft, which records browsing sessions and builds heatmaps so we can see where people get stuck on a page.

These tools run when you load a page on this site. We do not currently show a banner asking you to accept or decline them, so if you want to limit or stop them, the controls in the "Your choices" section below are the way to do it.

Pages about specific conditions and suburbs

Many pages on this website are about a specific condition, for example back pain or headaches, or about a specific suburb. When you open one of those pages, the tools above record the page address together with an identifier for your browser or device. That combination can reveal something about a person's health.

For that reason we handle website browsing information about those pages as health information, which is a kind of sensitive information under the Privacy Act 1988 (Cth), and we give it the same care as information in a patient file. Under Australian Privacy Principle 3.3, sensitive information is ordinarily collected only with the individual's consent, unless an exception applies. So we set out here, as plainly as we can, exactly what is collected and how you can prevent it.

This website measurement information sits in the Google and Microsoft systems described above. It is not part of your clinical record.

Why we collect this information

  • To provide care and run the practice. Making and keeping appointments, keeping clinical records, contacting you about your appointments and your care, billing, and processing a claim with your private health fund if you ask us to.
  • To measure and improve this website. Understanding which pages people use, where they leave, and what is not working, which is what the session recording and heatmaps are for.
  • To measure our advertising. Working out which advertisements, search terms and pages lead to enquiries, calls and bookings, so that we are not paying for advertising that does not work.
  • Possible future advertising. The audience segments described below could be used to show advertisements to people who have visited this website. They are not being used that way at present.

Measuring the website and measuring our advertising are purposes beyond simply delivering the page you asked for. We set them out here so that those additional purposes are disclosed rather than assumed.

Automated decisions and AI tools

The Australian Privacy Principles ask us to tell you when we use computer programs, including artificial intelligence (AI) tools, to make decisions about you, or to do things closely connected with those decisions. This section explains where we do.

Decisions made by a program on its own

Our online booking system shows the appointment times that are available and books the time you choose, following the practice's set booking rules. Apart from that scheduling, as at the date at the top of this policy, no decision about you, including about your care or whether we can help you, is made by a computer program without a person.

Where a program helps a person make a decision

When you contact us with an enquiry by email, through a form on this website, by text message, by social media message, or by leaving a phone message, we may use an AI tool to read your enquiry and draft a reply. The draft can include a suggestion about whether we are likely to be a good fit for what you are looking for, which can take into account how you intend to pay, whether another provider may suit you better, and how to book. A member of our team reads every draft, makes the decision, and sends the reply. The AI tool does not decide anything.

To do this, the tool may use:

  • your name, phone number and email address
  • what you tell us in your enquiry, which may include health information, and the age of the person the enquiry is about
  • what you tell us about how you intend to pay, for example through a private health fund or another payment arrangement

Other ways we use AI tools

  • To summarise our email inbox, and to draft replies to emails and responses to online reviews. A person checks every email reply before it is sent.
  • To turn recorded calls to our tracking numbers into text, as described under "Phone call information".
  • To help us measure and improve this website and our advertising, using the measurement information described in this policy. These tools do not make decisions about individual people.

If this changes

If we start using a program that makes decisions on its own, for example one that automatically offers a newly available appointment to the next person on a waiting list, we will update this policy before it starts. If you would like a person to handle your enquiry without any AI assistance, tell us and we will do that.

Advertising audience segments

Our Google Ads account contains audience segments that Google builds automatically from the Google Analytics 4 data about this website. Some of those segments are open, which means they continue to add visitors. Membership of a segment can last for up to 540 days from a visitor's most recent visit to the site.

As at the date at the top of this policy, none of these segments is attached to any advertisement, ad group or campaign. None is being used to target advertising, to exclude anyone from advertising, or to change what we bid. They exist, and while they are open they continue to collect, and they could be used for advertising in the future. If we start using them for advertising, we will update this policy.

Who we share information with

  • Google LLC, for Google Tag Manager, Google Analytics 4, Google Ads conversion tracking, and the audience segments described above.
  • Microsoft Corporation, for Microsoft Clarity session recording and heatmaps.
  • LunaCal, our online booking provider, for appointments booked through this website.
  • WildJar, our call tracking provider, for information about calls to the numbers shown on this website, including call recordings and transcripts.
  • Providers of the AI tools described in the "Automated decisions and AI tools" section.
  • Your private health fund, if you ask us to process a claim.
  • Others, where you ask us to, or where the law requires or permits it, for example a subpoena or a mandatory reporting obligation.

We do not sell personal information.

Sending information overseas

Australian Privacy Principle 8 deals with disclosing personal information to recipients overseas.

Google LLC and Microsoft Corporation are based in the United States and process information on infrastructure outside Australia. When you use this website, the information described in this policy is disclosed to those companies, and may be stored and processed in the United States and in other countries where they operate. We are not able to give you a complete list of countries, because those companies run global networks and do not publish a fixed list of locations for each of their customers.

Our online booking provider and our call tracking provider may also store information outside Australia. The AI tools described in the "Automated decisions and AI tools" section are provided by overseas companies and may process information in the United States.

Once information is held by an overseas recipient, it is handled under that company's own terms and under the laws of the places where it is held. You can read what Google and Microsoft say about this in their own policies:

  • Google Privacy Policy
  • How Google uses information from sites or apps that use our services
  • Microsoft Privacy Statement

Your choices

  • Your browser. You can block or delete cookies, or use a private browsing window. Blocking cookies may change how some parts of this site work.
  • Block the tools directly. Blocking scripts and cookies from googletagmanager.com, google-analytics.com, googleadservices.com and clarity.ms, in your browser settings or with a content blocker, will prevent those tools running on this site.
  • Google Analytics. Google publishes a browser add-on that stops Google Analytics using your data: Google Analytics Opt-out Browser Add-on.
  • Personalised advertising. You can turn off ad personalisation in your Google account settings at My Ad Center.
  • Phone calls. If you would rather your call was not recorded by our call tracking service, email us and we will phone you from our office line instead.
  • AI assistance. If you would like a person to handle your enquiry without any AI assistance, tell us.
  • Ask us. Phone or email us and we will tell you what we hold about you and, where we are able to, arrange for it to be deleted. Information already held by Google or Microsoft is under their control, so for that we can only point you to their own tools above.
  • Practice communications. If we contact you about your care or about the practice and you would rather we did not, tell us and we will stop.

Limiting these tools does not affect the care you receive, and it does not affect your ability to book an appointment by phone.

Access and correction

You can ask for access to the personal information we hold about you, and you can ask us to correct it if it is wrong, out of date, incomplete, irrelevant or misleading. Australian Privacy Principles 12 and 13 cover access and correction.

Ask us in writing, by email or post, using the contact details above. We will ask you for identification, so that we can be sure we are giving information to the right person, and we will respond within a reasonable period. In limited situations the Privacy Act 1988 (Cth) allows us to refuse access, or to refuse to make a correction. If that happens, we will tell you in writing why, and how you can complain about it.

Keeping information secure

We take reasonable steps to protect the information we hold. This website is served over an encrypted connection. Clinical and booking records are held in systems that require a login, and access is limited to Dr Sam Johnson (Chiropractor) and to practice staff who need it for their work. No website or computer system can be completely secure, and we do not claim otherwise.

If a data breach occurs that is likely to result in serious harm, the Notifiable Data Breaches scheme in the Privacy Act 1988 (Cth) requires us to notify the people affected and the Office of the Australian Information Commissioner.

Complaints

If you think we have mishandled your personal information, please tell us first. Contact Dr Sam Johnson (Chiropractor) by phone on (08) 8297 5277, by email at wecanhelp@stapletonchiropractic.com.au, or by post at 528 Marion Road, Plympton Park SA 5038. Putting it in writing helps, because it gives us a clear record of what happened.

We will acknowledge your complaint, look into it, and write back to you with the outcome.

If we do not respond within 30 days, or you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner, the regulator for the Privacy Act 1988 (Cth):

  • Website: oaic.gov.au
  • Phone: 1300 363 992
  • Post: GPO Box 5288, Sydney NSW 2001

The Commissioner asks that you complain to the organisation first, and allow 30 days for a response, before lodging a complaint with the Commissioner's office.

Changes to this policy

We update this policy when what we do changes, or when the tools on this website change. The current version is always on this page, and the date at the top shows when it was last changed. This version replaces the practice's earlier privacy document.
